Hays Health and Safety are currently recruiting for a HSQE Team Administrator for a organisation in Wakefield.
Main purpose of the job:
- To support the Company Sector Health Safety and Environment and Compliance functions with their duties, providing comprehensive administrative assistance in a range of areas
- The role requires a proactive and quality oriented approach, the jobholder will anticipate the need for information
- A key aspect of this role is to be able to work alone and independently to make decisions and act on the behalf of the team
- The post holder will need to maintain databases and the company document management system, ensuring information is kept in line with company procedures, is up to date and retrievable.
- To work as a key part of the central HSE and Compliance teams.
Requirements:
- Experience in a similar administrative support role with a broad range of duties and responsibilities and working to and achieving deadlines.
- Report preparation skills
- Strong and effective interpersonal skills, equally content working on own initiative and as part of a team. Dealing with senior staff and customers.
- Demonstrates a logical and practical approach to tasks
- Demonstrates ability to undertake an appropriate range of tasks
- A higher level of qualification at A level standard or above and RSA typing.
- Advanced software skills. Excel / Word / PowerPoint
- Strong time management skills.
- IT troubleshooting ability, correction of minor IT problems.
- Experience working in a safety/compliance team and producing reports.
- Experience of Quality, Safety and compliance database systems.
- Experience of Customer Care including handling survey results and statistics
- Must have a full UK driving licence.
Key Responsibilities:
- Company central HSE report and International process standards report production and administration
- Integrated Management System (IMS) update, maintenance and implementation plans, plus issuing and upkeep of CDs to operational teams.
- Administration of legislation references in IMS documentation
- HSQE Intranet pages updates, including upkeep of certificates
- Invoicing for external COSHH system, accreditation bodies and others as required
- Central administration of COSHH system
- Liaison with accreditation body regarding administration and planning of visits and other arrangements
- Production and administration of central Company Legionella reporting
- Distribution and administration of Duty of care audits
- Upkeep of email distribution lists for reportable events
- Administration, evidence gathering and liaison with Safe contractor and other corporate memberships
- Administration and update of Tool box talks and training modules
- Administration and collation of responses for annual Customer Satisfaction Survey
- Administration and upkeep of Central audit requirements
- Upkeep and administration of Company Employee handbook
- Provide office support to SHE and Compliance managers as required
